    Job Opening Expiration Process in ATS360

    The Job Opening Expiration feature in ATS360 ensures that Job Openings do not remain open indefinitely, helping to prevent forgotten or inactive listings from clogging the recruitment funnel

    Expiry Date

    The Expiry Date is an automatically generated field in the Job Opening form that determines when the Job Opening will close. By default, this date is set 90 days from the Job Opening’s creation date. 

    Configuration

    The configuration of the expiration period can be customized via the ATS Configuration Record.

    Expiration Notification Process

    To help HR Managers manage expiring Job Openings, ATS360 provides a notification process:

    • 3 Days Before Expiration:
      HR Managers receive an automated email report, including the Job Title ID and the expiration date. This notification helps ensure that necessary actions can be taken before the job expires.

    Actions on Expiration Notification

    HR Managers have several options when they receive an expiration notification:

    1. Update and Extend the Expiry Date:
      This option allows the HR Manager to extend the expiration date, keeping the Job Opening open for further candidate sourcing. A new notification will be sent when the new expiry date approaches.

    2. Remove the Expiry Date:
      If the HR Manager wants the Job Opening to remain open indefinitely, they can remove the expiry date. This will prevent any future expiration notifications for that Job Opening.

    3. Status Quo:
      If no action is taken, the expiration process will proceed as scheduled. Once the Expiry Date is reached, ATS360 will follow the predefined actions for closing the Job Opening.

    How to change Expiry Date?

    1. Navigate to the Job Opening you wish to update.
    2. Click Edit in the Job Opening form.
    3. Update the Expiry Date field.
    4. Click Save.

    What Happens When a Job Opening Expires?

    Several actions occur when a Job Opening reaches its expiration date:

    1. The Job Opening status is changed to Closed | Unfilled.
    2. An expiration notification email is sent to the HR Manager.
    3. Related Job Applications are automatically marked as Rejected.
    4. Applicants are notified via email that the Job Opening has been closed.

    This process helps maintain an efficient recruitment pipeline by ensuring Job Openings are actively managed and closed when necessary.
